A - Build Preparation Terms

Please read these all carefully. We hope to spend time walking you through these items, helping you to achieve a perfect job, to issue  a warranty and to help you invest your money into something that lasts.  

Failure to comply with these conditions will reduce the bond strength between adhesive and substrate, and may cause the walls and  floors to de-bond. 

• Free of Contaminants, Solid and Sound. 

All surfaces must be smooth, sound, dry and free of contamination. dry. They must be structurally sound and free from  contamination,friable materials or laitance. All surfaces to be free from grease. Where necessary, the walls should be cleaned down  prior to the Hycom sheet installation, Primers vary from walls to floor standard wall preparation is 10 parts water to 1 part PVA. 

Ceramic/Quarry tiles must be thoroughly cleaned, degreased, rinsed and left to dry. 

Loose tiles to be removed and the area made good using Ardurapide 45 rapid repair mortar, sand and cement with Unibond mix (if  drying time permits), Hardwall gypsum render coat or a comparable thickness plywood infill. 

As a general rule anything that you can pick off or bolster off easily, anything that falls off under pressure will mean that we are only  sticking to that and not the wall or floor underneath. 

• Flat, Smooth and True 

We are not making the walls/floors level, we are just laminating the surfaces. Similarly we can’t make the sheeting help get over any  abutment problems. Hycoms installation is affected if there are any steps at all in any material joints, as the sheeting will accentuate  the steps beneath. 

i) Walls 

Depressions in the substrate should be filled with Ardurapide 45 rapid repair mortar, sand and cement with Unibond mix, or  Hardwall gypsum render coat if drying time permits. 

We expect true 90 degree corners from top to bottom. The walls should be +/- 2mm over a 1.8m Straight Edge Unless this has  been noted and discussed. We reserve the right to add £850/day for 2 men. for build quality issues delaying the works completion  schedule. 

Materials are 2.5mm thick on average so any differences in levels or undulations will affect the adhesive bond. 

We will never weld over blockwork or brick. It will need to have all the joints smooth 200mm wide at the appropriate point 1220mm  centres. 

ii) Floors 

Allowing if quoted for and mentioned in our documentation, not just verbally by any party a 3mm Latex, these systems follow the  surface of the substrate so it is essential that the surface regularity of flatness conforms to or exceeds BS 8204.2 class SR2 (+/- 3mm  under a 2 metre straight edge). The Latex is self-levelling and thus will find its own levels. To increase past 3mm thick will cost at  either £425 per day or Pro Rata at the rate agreed for 3mm thick. 

Preparation for floor boards/ wooden floors are unique and specified to suit the individual job. This will be specified accordingly,  and would most likely need a survey, physical or virtual, but we would need to know all the details of the floor make up and  surroundings in order to advise an accurate cost upfront. Anything we find on the day of installation, even if our quotation includes  a cost to rip up and remove the existing flooring (Disposal will also be itemised separately) that is unforeseen and effects progress  will need immediate clearance to avoid further charges incurred.

The first 150mm of the wall upstand should be perfectly flat, smooth and dry. We are relying on contact adhesive to stick the rubber  cove former on so this needs to have a flat wall all the way past the whiterock transition. Quarry Tile upstands need to be removed,  the radius does not accept sheeting. 

All residues of old paint coatings/floor coverings and the remaining dust must be removed. 

Dry and warm 

All substrates to be dry to 16% WME (Wood Moisture Equivalent) on Protimeter ‘Surveymaster’ equipment. The operating temperature of the room should be 15C. Materials where possible should be brought up to room temperature. i) Walls

Substrates must include an effective damp-proof membrane and contain residual moisture not greater than 5% by weight (75%  R.H.) to BS 8203. 

All surfaces must be smooth, sound, dry and free of contamination. It is your responsibility to have the floors dry, unless we have  been asked to carry out moisture tests we are relying on you to give us a suitable and dry screed. If you are asking us to site to lay  floors please ensure they are dry. 

Clear and empty 

The entire floor areas should be clear for any flooring preparation or laying. We are quoting to do flooring works, not any other  type of work. Be that clearing cleaning or carpentry or labouring tasks. 

All electrical switches, power points etc should be in a first fix state where possible. All electrical equipment should only be moved or  altered by a qualified electrician. 

If possible, plumbing and pipework should be removed to be at first fix state and “tails” left protruding from the substrate. Sheets  can then be drilled and slid over the pipe “tails”. All holes should be drilled 3mm oversize to allow for expansion. Plumbing should  always be carried out by a qualified plumber. 

Hot pipes and steam pipes should be insulated and a 3-5mm expansion gap should be created when installing sheets around these  pipes. 

Photos required/Virtual Survey/Changes to Assumptions/From Survey 

Ideally Photos should be sent 72 hours in advance for Hycom to confirm preparation is good enough. We can then advise and  complete a pre-start approval. 

This is early enough to reschedule our fitters without incurring costs for schedule changes. We will always do our best to find  alternative installs for our fitters. Hycom reserves the right to charge £350/man per day for up to 2 days for cancelled visits, for any  reason outside of Hycoms scope of works, costs are incurred from 48 hours prior to installation for any changes in schedule.

B - Financial Terms

We are happy to negotiate terms to suit, any job that lasts more than 2 weeks will be billed in weekly interim, we will agree and  apply accordingly. 

Late Payment Interest Commercial Interest of 8% above Bank Of England base rate, will be applied on any payments which are  late or deemed to be outside of terms. 

Waiting Time Waiting time is charged per man hour. A man costs £425/day or £425/8 or £53.13/ per hour/man. A team is nearly  always 2 men. But if only one man is present for whatever reason we will only charge for one man’s waiting time. 

Cancellation Charges A full charge of £850 x 2no is to be charged if a job is cancelled less than 72 hours before the job is due to  start, if we can’t rearrange our fitters bookings to suit. We will of course do our best to redirect installations. Our fitters are booked in  advance, we are UK wide and thus there are always cost implications to changes. 

If it is a resin floor job we need 48 Hours however the charge is £1700.00 as we have larger teams and more expensive tooling.  Invoicing and Deposits Contracting terms are organised per job and to suit both parties.

Small Works/Fastrack/ShortTerm will typically fall into Band 1-3 based on credit rating and assessed risk. 

Small Works Orders (Under £15K) Short Term Orders (Less than 10 days on site) Fast Track Orders (Less than 3 weeks from agreed  order to start date) will automatically require deposits and immediate financial clearance of variations in line with % deposit agreed  (see below) 

(Variations incurred whilst running them will need the terms followed through. So if there is a 10k job and it has 5k variations, if  we agreed 50% deposit terms then we would assume immediate clearance of 50% of the variations to be cleared by bacs or card  immediately. Variations on the project are thus not affecting the risk metric on our terms of credit.) 

See beneath some typical Financial Terms and a brief description to help you understand how we mitigate our financial risk during  projects, keep installation and customer care standards high and keep our cash flow in a fair place for all parties;

For Projects typically less than £15k 

Lack of Good Credit Rating - 100% funds Upfront 7 days prior to installation 

Good Credit Rating - Deposit of 70% is paid Upfront 7 days prior to start date. 30% remainder Hycom must have cleared funds  within 3 days of completion. 

For projects above £15K or for those with specialist products, that will thus be pre-ordered/reserved for your job. We typically require 50% deposit and 50% paid within 21 days of completion 

If a project where one continuous visit is deemed not possible, or a project where time of completion is delayed for any reason, we  will assess upon the last day of attendance a fair valuation and any additional cost to revisit. We will bill for the cost of the valuation  and 50% of anything remaining thus reserving the products to complete. Our last day will also be assessed for efficiency, thus we can  charge only the difference in efficiency rather than a full cancel/revisit charge. 


• C4 C5 C6 C7 

Turnkey Projects; 

We would typically aim for 40% deposit payable 10 days before commencement on site 40% upon materials and men arriving on site  and remaining 20% payable within 30 days of completion. 


• C7 C8 C9 C10 C11 C12 

JCT or Contracted Works; 

Will be determined by the contract. But please be aware that we will always be pushing for Material Onsite Deposits, again anything  specialist or coloured we would like to get this cleared upfront to get the stock assigned. Application for payments, payment  notifications and correct list of authorised individuals must be included in the Sub Contracted Order and received 3 weeks before  starting works.

Queries on Invoices 

We will accept queries on invoices within 7 days of receipt of invoice. If we have made a mistake then clearly we will amend, but if  you feel there has been a change needed for any reason please tell us straight away, we are more than approachable and are there to  help make all outcomes happen swiftly so as not to affect cash-flow or avoid any further costs, or interest applied. 

 

 

FAQs Featuring some scenarios; 

Typically useful for non contractors/end users/ or for those experiencing a Hygienic Wall/Flooring installation for the first time; 

 • Q1. If the Square Meterage quoted and the actual installation is less will you charge less? Will it be reduced by the same £/m2? 

  A1. Unless Hycom have already agreed to a re-measure contract the time spent on site is often more of a cost than  materials. Therefore if the job goes according to plan and the m2 is less we may invoice less materials but it will not be a meterage  rate applied. We have to be efficient and aim for 36m2+ a day of installed wall products. Floors vary. 

 • Q2. Is it my responsibility to have the rooms ready according to Hycom Terms and Conditions? 

A2. Yes it is. We will always try to keep in touch and make sure the job is keeping on track as to the intended start date, but  it is up to you to let us know of any changes, or anything that we have sent in our assumptions that is not accurate.. 

 • Q3. Where space has been agreed for a bench and then the space is not provided for any reason will the original costings apply? 

A3. No. If the men on site have further to walk the job will take longer, if not in the same room the time to install typically  doubles, so once we have figured out the best plan with the newly defined bench space we reserve the right to renegotiate the cost  of the job according to the new timings. If you are not in agreement with what will be a fair price then we will apply the £850  cancellation charge. Whilst we are negotiating and figuring out the best way forward we will apply waiting time. 

 • Q4. If I have to lock the site of installation up but for whatever reason there is not adequate time allowed for the installer to  clear up that day, can I expect him to come back the next day first thing to tidy up ? 

A4. Unfortunately unless we are given warning of a finish time we would like to stay on till late to finish. It is hard to tell  how a day will go, so staying on late to clear up would suit. Coming back the next morning would mean we are letting another start  date down so this is sometimes hard to do. So to answer it is not something that we can do to be forced to finish weary and then  come back the next day first thing. Being forced to finish earlier than agreed or planned will therefore cost a revisit charge of £850 

 • Q5 Will a bad credit rating or having previous history with failed companies affect me? 

A5. Hopefully not, we will use a Credit Check in order to issue credit. We have to abide by the recommendations or we are  not covered. If there is a previous history of companies failing etc. this should not have any effect at all but we are obliged to ask for  100% upfront if there is no valid credit report to say otherwise.

Specific Terms and Conditions for the Installation of Wall Cladding and Flooring 

The client shall provide: 

• Adequate storage space for sheets to be laid flat (6.0m x 1.5m) and for adhesives, some of which are of a flammable nature. 

• A clear working space on site of 5 metres x 4 metres minimum. • A minimum site temperature of not less than 14 degrees  centigrade during storage, installation and following completion of wall cladding work. 

• The working area is free of all other trades during our work on site. Protection to cladding and flooring at the end of each day.  Alternatively, quotation for protection can be provided to the walls and flooring. Hycom would need to know 2 weeks in advance to  cost and clear this and arrange delivery of protection. 

 

 

• Additional Costs simplified and framed accordingly; 

 

 i) Hourly @ £51.13/h per man 

 ii) Per Day @ £850 for 2 men 

 iii) Lack of progress - Charges relative to 36m2 per day target 

 1. Waiting for RAMS 

 2. Area not ready for an efficient install according to Build Preparation Terms 

 3. Access Issues the bender is 3.4m long x 200mm wide, it will not fit into tight corridor bends or downinto small basement stairs. 

 4. Bench space not available. See above 4m x 3m Needed 

 5. Schedule Change £850 x 2 (within 72 hours) 

 6. Cancelled Visit £850 x 2 (within 72 hours) 

 7. Waiting TIme for any reason outside of Hycoms control 

 8. Change of agreed installation in any way 

 9. Changes to assumptions we have made and communicated in our documents 

 10. Changes after the survey, be that virtual ro physical, that you have failed to inform us of 

 11. Changes in product choice may have financial implications,we reserve the right to get organised and once our orde is signed we may start to move materials into locations to suit our efficient installations 

 12. Incorrect Site Details on our Order Acknowledgment/ Quote/ Pre Start Agreement/ be that build, access, heating, lightning, damp, floor/wall make up, operating times, noise restrictions.

C - General Quotation - Terms, Assumptions & Conditions

 1 HCI’s specification and quotation may be subject to final site survey. 

 2 Any variation to the scope of work as quoted must be given in writing. 

 3 All HCI quotations are based on the work being carried out through one continuous visit. 

 4 A lead time of ten working days from date of order to start of work will be required unless otherwise agreed. 

 5 The work has been priced initially as if it were to be carried out by our own specialist teams, during normal working hours (8am to 5pm), unless otherwise specified and agreed in writing with free access to the whole area. In the event of the client/main contractor being unable to provide the working conditions laid out in paragraph below, a full re-quote would be required. 

 6 Unless specifically stated in the above specification, this quotation is subject to the client being responsible for the following: 

• Obtaining all necessary Statutory Approvals for Building Regulations. Fire Officer Approval and Planning Consent and paying all relevant fees which relate to this. 

• Provision of 110v or 240v electrical power 

• Employing own Structural Engineer to confirm or instruct as to any work necessary due to demolition of walls, floors or other structural elements. 

• Removal of all furniture, cooking utensils, equipment, fixtures and fittings they wish to retain, and their subsequent re-positioning or re-fixing. Any machinery or equipment remaining on site must be protected against damage during the works operation. 

• Any work required to fire alarms, fire sprinkler and any detection system. 

• Any work required to Air Conditioning or extraction systems. 

• Any costs involved in the production of Construction Design & Management (CDM) generated administration or drawings, and for notifying Health & Safety Executive of the start of works subject to CDM regulations. 

• Protection of installed finishes, services and equipment, subsequent to our leaving the site. 

• Signage 

• Free provision of: i) Power and water ii) Lighting iii) Access to site with lift, if not on ground floor iv) Scaffolding v) Safe storage space for materials vi) Parking for all vehicles whilst offloading and for one vehicle for duration of work carried out on site unless otherwise established in writing vii) Adequate ventilation to enable adhesives to be used for cladding, flooring etc.

 7 The Building is deemed to be of sound construction and with suitably positioned damp proof membranes, and is assumed to be free of asbestos, lead or any other deleterious material. Should asbestos or lead be present it is the client’s responsibility to identify the type and extent of any deleterious matter. 

 8 The site must be free of other trades during our working time on site. 

 9 No Earth Bonding is allowed for in this quotation, unless specifically noted otherwise. 

 10 Unless specifically stated this quotation/estimate assumes that all existing Water and Gas Services, drainage and electrical installations are in a sound condition and comply with the latest relevant regulations. HCI takes no responsibility for testing the purity, chlorination or pressure of water supplies. It is also assumed that the existing services are of sufficient size and or power to accommodate the proposed works. 

 11 Any abortive time or day work, charges will be levied at £53.13/Hour/Man, or £425/eight hour day, with a minimum of £850 x 2 for a wasted visit due to non-delivery of equipment, the wrong equipment being onsite, or other factors outside of our control preventing the normal completion of the work. 

 12 HCI’s payment terms are never more than 30 days from the date of invoice. Unless in contracted agreement.    13 Our prices quoted remain current for a period of 14 days from date of quotation, our quote software expires after 14 days.  14 All prices are exclusive of VAT which will be added at the then current rate. 

 15 Unless specifically stated this quotation/estimate assumes that all existing Water and Gas Services, drainage and electrical installations are available within 1 (one) metre. 

 16 The quotation does not include the cost of hoses or any parts required for the reinstallation of existing equipment. (Any repairs and servicing of existing equipment can be provided at standard engineering rates, plus materials). Where equipment is removed and re-installed elsewhere, that equipment must comply with all current regulations but HCI cannot be responsible for ensuring that these needs are met. 

 17 Quotations for installation work exclude the actual installation of ventilation equipment, counters and canopies, unless otherwise agreed, but does not cover the final mechanical connection of counters as required. 

 18 Quotations do not cover the cost of the breakdown and re-assembly of equipment made necessary by restricted access to the site. 

 19 The client is responsible for: 

• Ensuring that all items of equipment and ancillary parts are on site in time for the start of work, or are delivered to our nominated storage 48 hours prior to the start date and time. 

• Servicing and cleaning of existing equipment removed and subsequently re-installed during the contract, unless otherwise agreed. 

• Ensuring the site is in a suitable condition for the installation to proceed and that all mechanical and electrical services are completed to first fix stage.
